Eaton Lighting and Electrical Procurement Checklist: Surge Protection, Chandeliers, and Grow Lights

This is for anyone who has to specify or buy Eaton lighting and electrical components and needs to get it right the first time. I'm the procurement manager for a 28-person electrical contracting company. I've handled our lighting, distribution, and controls budget for about six years—roughly $350,000 a year, give or take—and I've made most of the mistakes below. This is the checklist I now use for every retrofit and lighting package, especially when there's a hard deadline. We've done maybe 50 of these projects in the last three years. Maybe 45, I'd have to check the spreadsheet. The pattern holds.

I can only speak to the mid-size commercial and high-end residential work we do. If you're a one-person shop installing a single fixture, the scale will be different. But the logic still applies.

1. Start with the Load Sheet, Not a Pretty Product List

Before you search for anything, list every circuit, load, and control requirement. I know it's tedious, but the project where a client asked for a closet chandelier taught me to check the load schedule first. A closet chandelier is a decorative fixture, not a recessed can. It may need a different box, a dimmer, and sometimes stronger support. The same is true for a beaded chandelier—the weight, the glass, and the cleaning process are completely different from a standard LED fixture. Those aren't just design details; they change the circuit, the switch, and the shipping dimensions. If the chandelier uses candelabra bulbs and the client wants LED retrofit globes, the load might drop, but the dimmer compatibility changes. We order the fixture and the dimmer together, not separately.

If the scope includes any motor-driven equipment, also check whether the spec lists an Eaton speed sensor. That little part is often used with variable-speed fans or pumps, and its lead time can be longer than the fixtures. I've had a full crew ready to run conduit while a single sensor sat backordered.

2. Buy the Right Surge Protection, Not a Generic Label

Surge protection is where quotes can vary wildly. In Q1 2025, I'm specifying the Eaton CHSPT2ULTRA Ultimate Surge Protection 3rd Edition for most single-panel retrofits and small commercial jobs. The spec sheet documents surge current capacity and let-through voltage, which means I can actually defend the selection to a client or inspector. It's not a guarantee against a direct lightning strike—nothing is—but it handles the repeated smaller surges that kill electronics. For larger services, we look at a different Eaton model; the CHSPT2ULTRA isn't a one-size-fits-all answer. If you're protecting a home office or a server closet, also add a point-of-use surge protector. Per FTC guidelines, performance claims need substantiation. So when a vendor calls something 'ultimate' or 'whole-home,' I ask for the test report. If they can't produce it, I assume it's marketing.

3. Match the Controls to the Fixture

Eaton makes a wide range of switches, occupancy sensors, lighting contactors, and dimmers. The important thing is to choose controls after you know the actual fixture load. An LED beaded chandelier with a dimmable driver requires a compatible dimmer, and a closet chandelier with a motion sensor can be annoying if the sensor doesn't have a decent time delay. On the commercial side, if you're switching a whole row of fixtures, a lighting contactor is usually better than a stack of 3-way switches. Also confirm the coil voltage. If the contactor coil is 120V and your control panel is 24V, you'll need a relay or a different coil. That's exactly the kind of detail that gets missed in a copy-paste spec.

4. Treat Grow Lights as a Special Circuit

Grow lights are not just accent lamps. When clients ask me how long to use grow light on plants, I give them the honest answer: it depends on the plant, the fixture, and the stage. For common leafy greens, 12 to 14 hours per day works. For flowering plants, maybe 16 to 18 hours. I'm not a horticulturist, so I usually refer to the plant spec and the light manufacturer's recommendations. From my electrical standpoint, the more common issue is the timer. A cheap plug-in timer rated for 15 amps can fail if it's switching a high-wattage LED grow light for 16 hours a day. For anything that runs a long duty cycle, I use a mechanical or relay controller rated for continuous use. And I make a point of checking whether the circuit needs an AFCI or GFCI before resetting the load schedule. If the grow light is near a water source, it's on a GFCI, period.

5. Set a Hard Procurement Date—and Pay for Certainty

Here is where I've developed a strong opinion. If your project has a fixed cutoff date, don't leave anything on 'estimated delivery.' In March 2024, we paid an extra $380 for guaranteed expedited shipping on a panelboard. The client grumbled about the freight until I showed them the alternative: two electricians waiting for half a day because the standard delivery window slipped. The wait would have cost more than the freight. That's the time-certainty premium in practice. In emergency situations, the value of certainty is higher than the price of the expedite fee.

An uncertain cheap option is more expensive than a certain one.

I'm not saying every order should be expedited. Most orders are fine with standard lead times. But if a supplier's quote says 'ships in 5–7 business days' and you have a fixed date, treat that as a range, not a promise. Before you pay for expediting, ask what happens if the shipment misses the date. If the answer is no refund and no guarantee, the expedite fee is more of a lottery ticket than a certainty. In our bidding process, we now include a line item for schedule-based freight options—sometimes it's $0, sometimes it's $500. That way, the client can see the cost of certainty before they ask us to deliver the impossible.

6. Confirm Restocking Fees, Returns, and Paperwork

This is the unglamorous part, but it's where hidden costs live. I still kick myself for not checking restocking fees before a 2023 order. The 'cheap' distributor charged us a 25% restocking fee on an incorrectly specified fixture, and the return shipping ate the rest of the savings. Before placing an order, ask about restocking fees and return shipping. A distributor with a 25% restocking fee might not be cheaper than one with a higher unit price and no restocking fee. Total cost of ownership matters more than the line-item price. Ask about partial shipments too. If one component is backordered, some distributors hold the whole order until everything is ready. That can turn a two-day shipment into a two-week delay. We now write 'ship what's available' into purchase orders for deadline-driven projects.

Keep the spec sheets and test reports in a project folder. If a product is claimed to meet a standard, I want the document that proves it. For surge protection, that means the UL 1449 report. For LEDs, it's the LM-80 or TM-21 data. If a distributor can't provide it, they probably don't have it. Also confirm the warranty registration. Some Eaton products need a formal warranty registration to make a claim later. That's not a set-and-forget thing.

Common Mistakes I Still Make

  • Ordering the fixture before verifying the control compatibility.
  • Assuming 'from stock' means 'ships today.' It often means 'we'll ship when the pallet arrives.'
  • Confusing 'ships by' date with 'arrives by' date. A component that ships March 12 can arrive March 17. If the deadline is March 15, that's a missed cutoff.
  • Not asking about partial shipment fees. If one part is backordered, some distributors will hold the entire order.

It Depends on Your Situation

This checklist has worked for our company, but our situation is a mid-size contractor doing predictable retrofits. If you're a homeowner trying to swap a closet chandelier, you don't need a procurement department—you need a licensed electrician and a fixture that fits the box. If you're running a facility with grow lights and a big exposure to surge damage, your priorities will be different. And if you're in a region where Eaton distribution channels are less predictable, the lead-time math will be different. Use the parts that make sense for your project, and for anything deadline-critical, remember that certainty is worth paying for.
